Follow these essential steps to ensure a smooth experience as you prepare to exhibit with us.
1. Onboarding
Thank you for your booking! Here’s what to expect next:
After our sales team confirms your booking, you’ll receive a welcome email with all the important details and next steps.
You’ll also have the option to book an onboarding call with our Customer Experience team, where you can ask questions and get helpful tips. If this is your first HRDS show, we highly recommend scheduling the call.

2. Marketing & Promotion
Complete or update your listing using the Exhibitor Listing Form:
This information will appear on our Meet the Exhibitors page, mobile app, and may be included in marketing and promotional materials. Make sure all details are accurate and kept up-to-date.

3. Booth or Product Showcase Setup
Booth Exhibitors
Your Booth Space:
To view your booth size and location, please refer to our Live Floor Plan. All stands are sold as space-only, meaning you will receive a marked-out area on a concrete floor.
Online Service Center (OSC)
The Online Service Center is the platform where you can review all show guidelines and order any booth-related services from our suppliers.
It will go live in early 2027. In the new year, we will contact you to let you know when it will be going live and to confirm your contact details.
Product Showcase Suppliers
PODIUM ARTWORK
Included in your Product Showcase booking is the opportunity to create your own podium artwork to help display your product/ brand at the showcase; this can include graphics, text, images and logos.

4. Mandatory Form Deadline
All exhibitors must submit a completed Booth Information Form, including the following documents:
- Booth builds plans and design
- Risk Assessment
- For complex builds, additional information may be required
The form will be available to submit via the Online Service Center, and must be submitted by the stated deadline.
5. Registration
Exhibitor registration will go live in May 2027.
Key Exhibitor Information
Accomodation & Visa Requests
Accommodation:
Hotel bookings for 2026, in partnership with our accommodation platform; Hotelmap will go live in early 2027. The rates on offer are live and always guaranteed at the internet’s best prices. Booking with us also means you’ll be staying with our VIPs, offering you even more networking opportunities.
Visa Supporting Letters:
We are happy to help any way we can in your journey to exhibit with us. If you are requiring a visa invitation letter, please complete the visa supporting doc request form.
We would kindly ask you to inform yourself about the valid entry requirements (i.e. visa requirement) and complete the necessary formalities in good time before the expo begins. Hotel & Resort Design South assumes no liability in the event that your visa application is denied, your visa is received too late or in case you are not able to travel to the event due to any other reasons.
Exhibitor Insurance (New process for 2027 bookings)
- All exhibitors with a booth space in 2027 will automatically be charged Public Liability Insurance (also known as General Liability Insurance) fee as part of their initial invoice, as indicated on the contract.
- If you wish to use your own insurance, you can either submit your insurance documentation directly to James Hallam, closerstill@jameshallam.co.uk, or wait to be contacted by them with a request for your insurance documents.
- Once received, James Hallam will review your documentation and confirm whether it meets the required criteria. If your insurance is approved, a credit note for the insurance fee will be issued and sent to you from our accounts team, accounts@closerstillmedia.com.
- You can then deduct the value of the credit note from your deposit invoice when making payment. If you have already paid your deposit, you can instead deduct the credit note from your balance invoice.
- If you have already fully paid for your booth space, a credit note will be issued to you following approval of your insurance.
Please note: The insurance charge is applied to all booth invoices as standard and cannot be removed before the invoice has been issued. The insurance must be valid from Monday 23 – 25 June, 2027 with a minimum cover of $2million or equivalent.
Industry Scam Warning
Be aware of scam emails offering fake data lists, event guide listings, and accommodation services for Hotel & Resort Design South. This is an on-going industry scam, so please be alert. If you have any questions about potential scam emails, please contact us.
Our team will never contact you in an attempt to sell Attendee lists.
Speed Networking
Speed Networking is our dynamic platform that connects you the exhibitor, to the hotel designs decision-makers and buyers.
All Product Showcase suppliers will have a Speed Networking pass within their booking. Booth exhibitors may have additionally booked a pass for Speed Networking; providing you with eight tailored meetings, each lasting five minutes. If you are yet to purchase a Speed Networking pass and would like to know more on how to upgrade your booth space to include one, get in-touch with your sales contact at Hotel & Resort Design South.
