After our sales team confirms your booking, you’ll receive a welcome email with all the important details and next steps.

You’ll also have the option to book an onboarding call with our Customer Experience team, where you can ask questions and get helpful tips. If this is your first HRDS show, we highly recommend scheduling the call.

Your Booth Space:

To view your booth size and location, please refer to our Live Floor Plan. All stands are sold as space-only, meaning you will receive a marked-out area on a concrete floor.

Online Service Center (OSC)

The Online Service Center is the platform where you can review all show guidelines and order any booth-related services.

Accessing the Online Service Center:

  1. Your nominated booth build contact would receive access instructions from Expo Convention Contractors (info@expocci.com). They are our official booth build partner and host the platform. To see an example of the login access email, please click here.
  2. Only one person per exhibiting company can access the Online Service Center, and this contact must have a matching company email domain.
  3. If you need to change your booth build/operations contact, please notify directly by email.

PODIUM ARTWORK

Included in your Product Showcase booking is the opportunity to create your own podium artwork to help display your product/ brand at the showcase; this can include graphics, text, images and logos.

PRODUCT SET UP

On Tuesday 9 June, please bring your product between 08:30 hrs – 09:30 hrs. You will not be able to place your product on your plinth after 10:00 am. Please collect your product no later than 17:00 hrs on Wednesday 10 June.

To set up your plinth, please go to the HRDS Conference Lounge & Product Showcase area. Each plinth will be arranged back-to-back.

There is no storage available, only bring the product you are displaying on the plinth. Do not bring any marketing materials or additional product samples. Products that are displayed on the plinth are left at your discretion; we accept no responsibility for loss or damage.

All exhibitors must submit a completed Booth Information Form, including the following documents:

  • Booth build plans and design
  • Risk Assessment
  • Copy of Public Liability Insurance
  • For complex builds, additional information may be required

All documents must be submitted via the form in the “Quick Facts” page of the Online Service Center by the stated deadline.

Early submission is strongly recommended. Late submissions, incomplete forms, or unanswered questions may result in delays, additional fees, and/or difficulties obtaining approval for your booth design.

Each member of your attending team will need to be registered to ensure you can access the show hall for build, and to access the exclusive networking events on offer to you as an exhibitor.

We recommend that exhibitors purchase a Lead Capture Scanner for smooth collection of contact details during the show.

The show app is now live! With the app you can view the full attendee list, message and connect with attendees, access your exclusive networking event invites. Find more details below.

Show Itinerary and Networking Events

Check out what’s going on over the show days and start planning your visit on our Show Itinerary. To confirm your attendance, please RVSP to your chosen networking events.

Anyone attending during build or breakdown hours must register for access using the Build and Breakdown Pass Registration Form – CSI Americas & HRDS 2026.

Please note:

  • High-visibility vests are highly recommended – please keep yours for breakdown.
  • Fully closed shoes are mandatory (no heels or open-toe footwear).
  • Animals and children are not permitted onsite during build or breakdown.
  • Be mindful of forklift activity and avoid using your phone while walking around the show floor.
  • For further details, see the ‘Important Exhibiting Information Document’ found in the Online Service Center.

Accommodation: 

Hotel bookings for 2026, in partnership with our accommodation platform; Hotelmap are now live. The rates on offer are live and always guaranteed at the internet’s best prices. Booking with us also means you’ll be staying with our VIPs, offering you even more networking opportunities.

 

Visa Supporting Letters:

We are happy to help any way we can in your journey to exhibit with us. If you are requiring a visa invitation letter, please complete the visa supporting doc request form.

We would kindly ask you to inform yourself about the valid entry requirements (i.e. visa requirement) and complete the necessary formalities in good time before the expo begins. Hotel & Resort Design South assumes no liability in the event that your visa application is denied, your visa is received too late or in case you are not able to travel to the event due to any other reasons.

The show app is now live!

Your app profile will give you access to your digital show badge, invitations to exclusive networking events, the full attendee list, in-app social feed, messaging feature, customizable agenda, and interactive floor plan.

 

Step One – Download the app 

Use the link below or simply type in CSI & HRDS on the App Store or Google Play to download the app.

You might be prompted to allow push notifications, please make sure to select ‘YES’. If you don’t receive this pop-up, you can enable them in your phone’s settings.

Step Two – Login & create your profile

To log in, enter the email that you registered for the show with and the case-sensitive password csia26. You’ll then get the chance to create your profile and choose your own password. It’s important to personalize your profile with as much detail as possible as this will be visible to other attendees and exhibitors.

 

Step Three – Explore the app

The show is now in your hands! Once your profile is set up you will be able to explore the app, connect with the community, and curate your own unique show experience.

 

Step Four – You’ve unlocked more

This year, we’re delighted to introduce the Discovery Trail, sponsored by SD Marine Interiors – a leaderboard-led in-app experience guiding you around the show floor through highlighted exhibitors, networking events, and content sessions. Scan QR codes throughout the event to collect points and climb the leaderboard as you go. And if that isn’t reason enough to get involved – the person with most points at the end of the show will win a $500 Amazon voucher!

This year we have introduced several new show features for you to get involved with.

Discovery Trail – New for 2026

  • Debuting in the show app, the Discovery Trail brings a curated audience of VIPs directly to your booth! This exciting new gamification feature with a cash prize, will lead VIP attendees around the show floor collecting points from scanning check-points at select exhibitor booths. Only 15 exhibitors available.
  • Only open to exhibitors with a booth space


Sustainable Materials Wall – New for 2026

  • The Sustainable Materials Wall in collaboration with Cruise & Ferry Interiors and Sustainable Design Summit is designed to make responsible sourcing easier for our sustainably minded buyers. We’ll feature your innovative and eco-friendly material as a hero piece within a curated showcase in the VIP Lounge. Limited spaces available.


Registration Rewards – New for 2026

  • Want a chance to receive a free personalized pop-up within the show app, putting your brand in the hands of all show attendees? Simply invite your client-base to join you at the show using your unique exhibitor registration link and the exhibitor with the most registrations wins!


Mood Board Workshop – New for 2026

  • Get creative with our VIPs! This interactive workshop hosted in the VIP Lounge pairs exhibitors with VIP attendees to create design-led mood boards using a curated selection of surplus materials.

European International Fairs can help you with every step of your journey from your HQ to HRDS. From packaging your products and booth materials, to global freight via air, sea, or road, as well as assistance with customs paperwork, they can make your logistics planning as easy as possible.

 Expo Convention Contractors, Inc. are the exclusive service provider for domestic freight services including material handling up to 30 days in advance of the “advance warehouse” address, delivery to your podium, handling of empty containers to and from storage, and removal of your podium for reloading onto your outbound carrier.

More information about Freight Services for HRDS will be released at the time of the Online Service Center going live.

Freight Services should not be confused with shipping which is the cost of transporting your podium product to and from the show.

It is possible to hand carry your item in through the front entrance but any shipments requiring carts or arriving through the back freight doors will require the services of Expo Convention Contractors, Inc. You can contact them through info@expocci.com.

The Lead Capture Scanner will enable up to 4 members of your team access to an app for your smartphones, extra licenses can be purchased if needed. Using the app, you can scan badges to collect contact details from the people you connect with at the show. The data you collect over the show days can be access via your online account with Jonas Event Technology.

Speed Networking is our dynamic platform that connects you the exhibitor, to the hotel designs decision-makers and buyers.

All Product Showcase suppliers will have a Speed Networking pass within their booking. Booth exhibitors may have additionally booked a pass for Speed Networking; providing you with eight tailored meetings, each lasting five minutes. If you are yet to purchase a Speed Networking pass and would like to know more on how to upgrade your booth space to include one, get in-touch with your sales contact at Hotel & Resort Design South.
